Use direct, declarative language. Talk to users, not at them. Avoid passive voice and unnecessary filler words.
Use as few words as possible without sacrificing clarity. People scan interfaces — every word should earn its place. Front-load the most important information.
Use a warm, approachable tone without being overly casual or cute. Avoid exclamation marks in error messages. Use contractions naturally (it's, don't, can't).
When something goes wrong, explain what happened and offer a clear next step. Don't just state the problem — guide users toward resolution.
Use gender-neutral language. Avoid idioms, slang, and culturally specific references. Write for a global, diverse audience. Use 'they' as a singular pronoun.
